Everything You Need to Know to Set Up Your RewardPay Account for Transacting

The fastest way to get approved is to set up every beneficial owner at the same time as setting up your account.

Beneficial Owners

A beneficial owner is anyone who owns 25% or more of your business.

If shares are held directly with no trust or other structure between the individual and the shareholding, no further documentation is required.

If any shares are held on trust (for example, by a corporate trustee or an individual acting as trustee for a family trust), we will require a copy of the trust deed. This allows us to see through the structure and confirm exactly who beneficially holds the shares, not just the entity named as shareholder.

Without this clarity, we cannot verify true beneficial ownership, and your account cannot be approved.

What we need before approving your first non-government payment

1. Your completed ID verification

A one-time check completed through GBG (greenID). You’ll need a New Zealand driver licence or passport.

2. All beneficial owners added

You need the email address of each beneficial owner to add them to your RewardPay organisation. Non-government payments can’t be approved until this is complete.

3. ID verification completed for all beneficial owners

All beneficial owners need to also complete the one-time check through GBG (greenID).

4. An invoice for your first few payments

We may ask you to provide an invoice as part of our due diligence. This helps us confirm the payment is genuine and matches a legitimate business expense.

How to set up smoothly and avoid delays

The fastest path to approval is to have everything ready before you make your first payment. Before you transact, make sure you have completed your own identity verification, gathered the email addresses of all beneficial owners so they can be added and verified, and an invoice handy for your first few payments.

Get these in place and your first payment can move through approval without back and forth.

These checks are not there to slow you down. They exist to keep the platform secure, protect your business from fraud, and meet our legal obligations under New Zealand anti-money laundering law. Once your account is fully set up and verified, future payments are quick and straightforward, and you can get on with earning rewards on the business expenses you are already paying.
